The Project Portfolio Dashboard

Form Overview

This form is displayed when you select a portfolio and click the [Dashboard] button on the Portfolio List form.

This form is used to manage the Project data and select and display multiple charts simultaneously.

By dragging the right side, you can display an third additional chart. You can display different charts using the drop down menu, and the [Attributes], [Views], and [Optimization] buttons in the button bar lets you see a summary lists in the lower right for selected data.

This form is opened when a Portfolio form is selected and opened from the Portfolio List form using the Dashboard button.

The top of the form has three areas for displaying previously prepared charts. You can select what chart you want to display using the popup menus below each window.

When the mouse enters the chart area, the [Open] and [Modify] buttons are displayed, and they disappear when the mouse leaves the chart area. Clicking the [Open] button opens the selected chart in a separate chart form window. Clicking the [Modify] button below each window opens the Preferences form for the selected chart:

If a 3D bubble chart is displayed, the rotation buttons are displayed for rotating the chart when the mouse enters the chart area, and they disappear when the mouse leaves the chart area:

The Portfolio Data Form List Box:

The Portfolio list box displays the Projects and associated data for creating your bubble charts. The list box can be sorted by clicking on the header at the top of each column (except for the picture “Pic” and Change “Ch”column). The 1st row of the list box contains the name of each column attribute. The attribute columns, denoted by alphabetical characters in the in the headers, display your customized attribute names in the 1st row. This name can be modified by clicking the cell to open the Modify Attribute form. The attribute data in individual cells can be modified by slow double-clicking in the cell to make the data editable.

When you click on a row containing a data Project, the “Open,” “Subset,” and “Delete” buttons become enabled. When you double-click on a data Project row, that Project Is opened for modification and saving in the data Project form.

Column Headers: Above each column is a header that displays the Weight (“Wt:“) and indicate if an attribute is “Active“. An attribute must be be made “Active“ by checking the checkbox in the Attribute form in order for the data in the column to be available for charting. Clicking on a column header sorts the portfolio by the values contained in that column, except for the "Pic" (picture) column.

The Columns:

Select column (Sel.): This is the 1st column in the list box. This column lets you select and deselect Projects by checking and unchecking them. When you click on a cell in this column, the display toggles between checked and unchecked. When you click at the top of the column, the list box Projects are sorted by checked and unchecked. The checkbox just above the select column lets you toggle between the selection of all the Projects (all Projects checked) and all Projects unselected (all Projects unchecked).

The next four columns are used to indicate the project status relative to optimizations:

"F.I." (Force-In): A check mark in this column indicates that the project will be forced-in as non-discretionary to an optimized portfolio in an optimizations.

"F.O."(Force-Out): A check mark in this column indicates that the project will be excluded ("forced-out" in any optimized portfolios.

"Base" and "Last": The "Base" and "Last" columns are used to indicate the status of a project in a saved optimization. The "Base" optimization columns display the results of the optimization that has been selected by the user as a basis for comparison to other saved optimizations. The "Base" optimization is indicated by an "*" next to its name in the Optsee Optimizer™ Saved List Form. The "Base" and "Last" columns display the status of the project in the optimization as follows:

Number column (No.): This column simply displays the current Project numbering ranked by SMART score. The numbering changes depending on the number of Projects displayed. For example, if you display 10 Projects they will be numbered 1 through 10, however, if you create a subset of those Projects using the Subset button, those 3 Projects will be numbered 1 to 3, and those numbers may be different than they were when there were 10 Projects displayed.

You can sort this column by clicking on the header at the top of the column.

Name column: The name column displays the names of the individual data Projects. You can customize the column name by clicking in the top row. Project names can not exceed 48 characters and cannot be duplicated within an individual Portfolio. You can edit project names by slowly double-clicking in the column row to make the selected cell editable.

Picture "Pic." column: This column displays the color/pattern combination that will be used in the bubbles on the bubble chart. The color/pattern combination can be edited in the Project form. This column can be hidden using a setting in the Portfolio Prefrences form. This column is not sortable or editable.

Change "Ch" column: This column displays the change status of a project relative to the last snapped baseline. This column is not sortable or editable. This column can be hidden using a setting in the Portfolio Prefrences form. The followiing indicators are used:

SMART Score column: This column displays the calculated SMART score for each individual Project. This SMART score is based on weights assigned to each attribute. The weight determines the amount of influence that attribute value will have on the Project ranking. For example, an attribute with a weight of 200 will have twice the influence as an attribute with a rank of 100.

When you change and save an Project’s data or an attribute’s weight, the new SMART scores for each Project are displayed immediately. Of course, you can also plot these values scores in your bubble charts, which allows you to see the correlations between the SMART scores and different attributes.

SMART Score High and Low columns: These columns display the calculated High and Low SMART scores for each individual Project. These columns are only visible if uncertainty tracking is enabled. The data displayed is dependent on the settings in the Portfolio Preferences form. If Uncertainty Tracking is enabled, then the SMART High and Low Scores are calculated from the ’Plus’ and ’Minus’ values of the Project attribute using the SMART algorithm. If Simulation Prioritization is enabled, then there are differect choices for these columns:

  • Mean and Standard Deviation
  • Mean and Maximum and Minimum
  • Median and 90% and 10%
  • Median and Maximum and Minimum

The Attribute columns: These columns display the data associated with each Project. You can name and format the column data by clicking on the 1st row to open up the attribute name form. After you save the new name, it is displayed in the 1st row of the column. In Optsee® plus, this is where you also assign the attribute weight for calculating the SMART score. There are 100 attribute columns in a Portfolio, and all of these columns can be used in bubble charts.

A slow double-click in the column cells will make the particular cell editable so that you can modify the data directly. A fast double-click on a row will open the selected Project in the Project data form, and you can change the data using that form, too.

Categorical data can be changed by clicking the cell, and selecting from a popup menu that appears containing the categories that were added in the Modify Attribute form.

When you modify data in the Portfolio form, you can undo your changes by selecting the "Undo" menu item from the "Edit" or selecting the control-z (Windows) or command-z (Mac) after making a change. Multiple Undo's can be performed while portfolio form is open, however, all changes are saved after the chart is closed. Changes to portfolio data made outside the form, such as modifying project data in a project form, cannot be reversed by using the "Undo" function.

Changing Column Order:

You can re-arrange the order of the attribute columns by dragging the column by the column header and dropping the column in the new location as illustrated below. You can restore the original column order by checking the [Restore Original Column Order] check box in the Portfolio Preferences form, and then saving and closing the form.

The Portfolio Dashboard Popup Menus:

There are two popup menus under each chart area: A popup up menu to select the chart to display in the area and a popup menu to select what Portfolio View that you want to display.

Chart Selection popup menu: Use this popup menu to select what chart that you would like to display in the corresponding chart area above the menu. The names of all saved charts are in the popup menu list with a description of the kind of chart in parenthesis next to each name.

Portfolio View Selection popup menu: Use this popup menu to select what projects that you would like to display in the corresponding chart above the menu. The names of all saved Portfolio Views are in the popup menu, and you can also select "Show All Project" and "Show Selected Portfolio Subset." The "Show Selected Portfolio Subset" menu item will display the project subset selected using the [Subset] button in the dashboard button bar.

The Portfolio Dashboard Buttons:

[New] button: Click this button to display the New Project form. Use this form to add new Projects to the Portfolio.

[Open] button: After highlighting an Project in the Portfolio by clicking on a row in the Portfolio list, click on this button to open the highlighted Projects in the Project forms for viewing or editing. (Alternatively, you can open a Project by double-clicking on it.) This button is disabled unless one or more Projects are highlighted in the Portfolio form.

[Delete] button: After highlighting one or more Projects in the Portfolio, click on this button to delete the selected set. The form will then display the set of Projects that you have selected to delete, and you will be asked to confirm that you want to delete the displayed Projects. If you click [Delete] in this form, all of these Projects will be deleted from the Portfolio. This action cannot be undone. Click [Cancel] to return to the form without deleting the Projects. This button is disabled unless one or more Projects are highlighted in the Portfolio form.

[All] button: Click on this button to display all of the Projects in the Portfolio.

[Subset] button: After holding down the Shift key (or Command Key on the Mac) and clicking on several Projects to highlight them in the Portfolio form, click on this button to display only the selected Projects. This allows you to easily view subsets of Projects from the Portfolio. Clicking on [Show All] will redisplay all of the Projects. When you have a bubble chart open, the bubble chart is automatically redrawn to display only the Projects shown in the subset of the data form. This allows you to quickly model different groups of projects. This button is disabled unless one or more Projects are highlighted in the Portfolio form.

[Hi-Lo] (Show/Hide Value Score Columns) button: Click toggle the display of the "High" and "Low" SMART SMART score columns. This button is disabled if the "Track Uncertainty" is not selected in the Portfolio Preferences form.

[Optim.] (Optimize) button (Optsee® only): Click on the [Optim.] button to open the optimizer form. If the portfolio has never been optimized, this will open the optimizer form. If the portfolio was optimized previously, this button will open the last Optimized Results form.

[Exp.] (Expand column width) button: Click on the [Exp.] button to toggle width of the attribute columns to view the full column names in the top row. After this button has been clicked, it is toggled to the [Cont.] button.

[Show] (Show or Hide Attribute Listbox) button: Click on this button to toggle the display of the Attribute Listbox at the bottom of the Portfolio Form.

[Calc.] : Click on the [Calc] button to toggle the display to view the weighted calculated attribute values in the attribute columns. These values represent the individual attribute values that are summed into the overall value displayed in the “Value” column and are based on the attribute values and the attribute weights. When the calculated values are displayed, the attribute columns are not editable. After this button has been clicked, it is toggled to the [Actual] button.

[Actual] : Click on the [Actual] button to toggle the display to view the actual entered attribute values in the attribute columns. After this button has been clicked, it is toggled to the [Calc.] button.

[Contract.] (Contract column width) button: Click on the [Cont.] button to toggle width of the attribute columns to an equal width. After this button has been clicked, it is toggled to the [Exp.] button.

[New] (New Chart) button: Click on the [New] chart button to open the New Chart Selection form.

[Efficint. Frontier]: Click on this button to open the Efficient Frontiers form. This button is disabled if there are less than four projects in the portfolio or less than two attributes in the data file.

[Prioritizer]: Click on this button to open the Optsee Prioritizer™. This button is disabled if there are less than three projects in the portfolio or less than three weighted attributes in the data file.

If a portfolio that has been modified by using the Simulation Prioritization feature has been modified by adding or deleting a project, modifying a project, or modifying an attribute, the simulation should be runa again to recalculate the SMART Scores for the modified portfolio, This is done automatically if the [Automatically Re-prioritize Projects] checkbox has been selected in the Portfolio Preferences form.

Otherwise a red blinking light appears above the button indicating that the portfolio has been modified and the the Simulation Prioritization is not current. A red “X” also appears in the "Simulation is Current" column in the Portfolio List form.

[Show Attribs.] button: This will open a list form at the bottom right of the Dashboard form that lists all the Attributes and a summary of their parameters. See the Attributes List form for more information about this form.

[Show Views.] button: This will open a list form at the bottom right of the Dashboard form that lists all the saved Portfolio Views and a summary of their parameters. Portfolio Views are essentially saved subsets of projects. Clicking on a row in the Portfolio Views list populates the Portfolio list with the only the projects associated with the selected Portfolio View. See the Portfolio View List form for more information about this form.

[Show Optims.] button: This will open a list form at the bottom right of the Dashboard form that lists all the saved Optimizations and a summary of their parameters. See the Optimization Summary List form for more information about this form.

The [Open] button in the upper right opens the portfolio in the portfolio form.

[Close] button: Click on this button in the lower right corner to close the Portfolio form.
